How to Use the
Vehicle Maintenance Report

Keeping your fleet properly maintained is essential for reducing downtime, extending vehicle life, and ensuring your drivers stay on the road. The Maintenance Report in the GPS Track Fleet Portal gives you a complete view of your fleet’s service status and helps you stay ahead of upcoming maintenance needs.

To open the Maintenance Report:

  • Hover over the left-hand navigation menu.
  • Select Alerts.
  • Click Maintenance Report (the fourth option in the list).

Once opened, you’ll find four tabs designed to help you manage and track fleet maintenance.


Fleet Maintenance Dashboard:

At the top of the page, you’ll see:

  • A maintenance status chart showing vehicles that are: Up to Date, Coming Due, Overdue
  • A bar chart highlighting which service types have the highest number of overdue vehicles.

Maintenance Summary

The summary section displays key metrics, including:

  • Total maintenance entries
  • Number of overdue services
  • Number of services coming due
  • Number of up-to-date vehicles

Detailed Service Table

Below the summary is a complete maintenance table that provides detailed information for every vehicle and service record

  • Filter by maintenance status
  • Review service details by vehicle
  • Export data using the Save File option

View Vehicle Service

The View Vehicle Service tab is where maintenance schedules are created and managed for tasks such as:

  • Oil changes
  • Brake pad replacement
  • Tire rotation
  • Preventative maintenance inspections

Create Service Schedules

To set up maintenance tracking:

  • Select a vehicle or device.
  • Enter the current mileage.
  • Add the service types you want to monitor.

Set Service Intervals

For each service type, you can establish maintenance frequencies based on:

  • Mileage
  • Days
  • Engine Hours

Enable Maintenance Alerts

Turn on the alert toggle for any service item to receive automatic notifications when maintenance is approaching.

This helps ensure critical services are never missed.


Vehicle Service History:

The Vehicle Service History tab serves as a centralized maintenance log for your fleet. Review all completed maintenance records across your vehicles in one place.

Filter and Organize Records

Quickly locate information by filtering records based on:

  • Vehicle
  • Service Type

Store Service Documentation

Upload receipts and supporting documents for each maintenance entry to keep accurate records and simplify audits or warranty claims.


Add Alert Recipients:

The Admin Edit Maintenance Contact tab allows administrators to control who receives maintenance notifications.

Simply add an email address, and that contact will automatically receive alerts whenever a vehicle is approaching a scheduled service interval.

This helps maintenance managers, fleet supervisors, and administrators stay informed and proactive.
